Description :

The Catholic Diocese of Cleveland was founded on April 23, 1847. It is the twenty-third
largest diocese in the United States. The Most Reverend Edward C. Malesic was
installed as the 12th Bishop of Cleveland on September 14, 2020. The diocese
encompasses the counties of Cuyahoga, Summit, Lorain, Lake, Geauga, Medina, Wayne
and Ashland. There are more than 670,000 Catholics in the Diocese, and Catholic
Charities- Diocese of Cleveland is one of the largest diocesan systems of social services
in the world. There are 185 parishes, 107 Catholic schools, 1 pastoral center and 1
mission office within the diocese. The cathedral is the Cathedral of St. John the
Evangelist, located in downtown Cleveland. Members of the diocesan staff support the

Primary Function
Under the direction of the manager, printing and mailing office, performs duties
associated with the processing of all outgoing and incoming mailing, shipping, copying,
and phone activities and supporting work functions. Incumbent acts as back-up in the
absence of the manager when necessary.

Responsibilities:
1. Maintains an open line of communication with the manager and associates to
assure smooth functioning of all operations.
2. Actively participates in job rotation schedule processing all applicable job
requisitions according to departmental standards in a timely and quality oriented
manner.
3. Successfully assists with all office functions as they pertain to quality service,
including but not limited to: addressing, folding, collating, stuffing, cutting,
binding, labeling, zip-coding, packaging, and data base entry.
4. Prepares accurate, timely and appropriate mail/shipping reports and related
paperwork.
5. Maintains copy/mail center office equipment as required in operator handbooks to
assure proper operation.
6. Monitors and maintains proper supplies needed to support smooth office
operation and quality service.

7. Services front counter and answers telephone calls. Is responsive to needs
generated by customers and vendors. Maintains a professional, courteous and
helpful demeanor at all times.
8. Processes appropriate billing for services rendered as required.
9. Facilitates all courier service to all Cathedral Square diocesan offices.
10. Attends and participates in training sessions as directed to include keeping current
in office equipment operation, software, and equipment.
11. Answers incoming telephone calls to the Diocesan offices routed through the
telephone switch console in a prompt, courteous and efficient manner. Maintains
familiarity with the primary mission and function of each Diocesan office, as well
as organizational changes, so as to route callers to the proper department or
individual in a friendly, business-like manner.
12. Sorts, collects, and distributes incoming mail as directed.
13. Delivers inter-office mail on schedule to the various departments as directed.
14. Assists in the pick-up and delivery of packages and supplies ordered and received
by various Diocesan offices in the Cathedral Square complex.
15. Helps stock and maintain inventory of supplies for the printing & mailing office.
16. When manager is out of the office, performs some limited manager
responsibilities to continue service and responsibilities of the office.
17. Assists in the preparation of outgoing regular and bulk mailings as requested.

Qualifications and Required Competencies:
1. Commitment to the teachings, values and traditions of the Catholic Church.
2. High School Diploma (or GED).
3. Prefer 2 years’ experience in printing/copying operation. General familiarity with
operation for equipment common to print/copy shop environment.
4. Prefer 2 years’ experience in mail processing operations. Working knowledge of
applicable U.S. postal regulations, experience with processing bulk mailing, and
use of overnight courier services is desirable.
5. Good communication skills, strong basic math skills, positive, professional
demeanor and an orientation toward providing excellent customer service are all
desirable.
6. Ability to stand for longer periods of time and to repetitively lift 40 to 50 pounds
as needed.
7. Working knowledge of Microsoft Office Suite programs.
8. Pleasant, professional demeanor and ability to articulate clearly over the phone
required. Experience as a telephone operator/receptionist and with operation of a
telephone switch console is preferred. Bi-lingual (English/Spanish) is a plus.
9. Professional appearance, discretion in handling confidential or sensitive
information, and the ability to appropriately respond to an occasionally complex
conversation or visitor situation in a calm professional manner.
